The core of our strategy was to move away from "The Old Way," in which staff were required to enter the same data into three separate systems (Email Enquiries, aXcelerate, and Xero).

We replaced this with the iBusinessFormula "One-Source-of-Truth" Model. Now, the journey follows a clean, automated path:

  1. The Single Entry Point: Everything begins in HubSpot. Whether it is an agent, a student, or an admin, they enter data once into a smart digital form.
  2. The Validation Gate: That data flows instantly into aXcelerate. The system automatically validates certificates and attachments, ensuring the enrolment team never has to deal with incomplete applications.
  3. The Compliance Loop: Once validated, HubSpot triggers PandaDoc to issue the offer letter. The student signs electronically, and the completed document is automatically filed back into both HubSpot and aXcelerate. No manual uploads required.

With Xero, the Financial Gap has been Closed

The final piece of the puzzle was connecting the admin team to the finance desk. We removed the need for internal emails by integrating Xero directly into the workflow.

When an admin moves a student to the "Approved" stage in HubSpot:

  1. Xero is instantly notified.
  2. It generates the specific invoice (e.g., a 10% deposit) based on the approval terms.
  3. The invoice is automatically sent to the student, and the admin can track the payment status without leaving the HubSpot interface.

We Built Dashboards for Insights and Tracking

Beyond just moving data, we wanted to give Lonsdale better visibility. We built a custom reporting suite within HubSpot that allows the management team to:

  1. Analyse which agents are driving the most value.
  2. Track organic vs. agent-led enrolments.
